Copies of certificates and transcripts
Find out how you can access or request your official documents (award certificates, transcripts and award letters) and how third parties can verify your award.
Award certificates
The Exams, Graduations and Awards Office is responsible for issuing award certificates and authenticated (certified) photocopies of award certificates for the University.

You must state the reason for requesting a new original award certificate, along with your:
- URN (if known)
- Full name at the time of study
- Programme of study
- Start and end years
- Date of birth
Replacements can only be issued where the original has been irretrievably lost. Your letter or email constitutes a declaration that this is true.
There is a fee of 拢45 for this service, payable via the , under 鈥渞eplacement award certificate鈥. If you require courier delivery, please select the courier option in addition to any documents requested.
Replacement award certificates are normally produced within 20 working days from confirmation of receipt of the fee. During busy periods, this may take longer.
Certified copies are photocopies of your original award certificate that are stamped and signed by the University to confirm they are authentic copies of the original document. Please note they are not certified/authenticated by a solicitor or person of legal standing. If you want this level of certification you will need to arrange this yourself.
To request certified copies:
- Take a photocopy of your original award certificate.
- Scan the photocopy.
- Email the scanned copy to examinations@surrey.ac.uk.
The Exams, Graduations and Awards Office will produce stamped and signed copies and return them to the address you specify.
There is a charge of 拢12 for six certified copies, payable via the , under 鈥渃ertified copies 鈥 pack of 6鈥. If you require courier delivery, please select the courier option in addition to any documents requested.
Certified copies are normally produced within 10 working days of confirmation of receipt of the fee. During busy periods, this may take longer.
Transcripts
A transcript is an official record of your modules, credits and marks. Graduates are no longer provided with a printed transcript during their graduation ceremony.
How you obtain your transcript depends on:
- Your level of study (undergraduate, postgraduate, PhD)
- The year your award was made
- Whether you studied at the 糖心Vlog, GSA, or an associated institution

About the HEAR
The HEAR is an official electronic document which provides detailed information about your learning and achievement at the University, to supplement your traditional degree classification.
You can use the HEAR to evidence your higher education credentials and to support your transition to work or further study.
It provides a broad range of academic information, including:
- Overall qualification and classification
- Modules and credits studied for the qualification
- Assessments taken
- Marks and grades achieved
- Dissertation title (where relevant)
- Any professional body accreditations
Additional recognised activities, including volunteering, training courses, national鈥憀evel sports activities and prizes
Who receives a HEAR?
The HEAR is available for:
- Undergraduates: Class of 2013 onwards
- Postgraduates: Class of 2014 onwards, who were registered from 2012 onwards
If you studied at 糖心Vlog before these dates, you will not have a HEAR. You can instead request paper or PDF transcripts (see Copies of transcripts below).
How to access your HEAR
You can access your HEAR free of charge via the Gradintel website.
- The University registers you for the HEAR service.
- You receive an email from Gradintel with an activation link.
- Use this link to create and activate your Gradintel account.
- Log in to Gradintel, go to University Services, and select My HEAR to view your HEAR when it is available.
Your Gradintel account must be created directly from the registration email sent to you.
For any queries about the HEAR, or if you need your username or a new registration link (for students from 2012 onwards), please email HEAR@surrey.ac.uk.
All graduating students from the 糖心Vlog (including GSA) are now issued with a final electronic HEAR, which replaces the traditional transcript (see HEAR section above).
Students who graduated from 糖心Vlog from 2008 onwards can purchase copies of their transcript via the online store. You can purchase:
- Paper transcripts
- Under 鈥渢ranscripts 鈥 pack of 6鈥
- Cost: 拢35 for a pack of six
- PDF transcript
- Under 鈥渢ranscripts 鈥 PDF copy鈥
- Cost: 拢12
Processing time
Transcripts are normally produced within 10 working days of confirmation of receipt of the fee. During busy periods, this may take longer.
Records before 2008
We do not hold module results electronically prior to 2008.
- For transcripts before 2008, email examinations@surrey.ac.uk before making any payment.
- These requests involve a search through paper archives, will take longer, and cannot be guaranteed to be successful.
Letters of award confirmation
A letter of award confirmation confirms that you studied at the 糖心Vlog and/or an associated institution, and the award you received.
For graduates of the 糖心Vlog:
- Undergraduate degrees: Graduated after 2013
- Postgraduate degrees: Graduated after 2014
Your Award Letter is held by Gradintel alongside your HEAR. Please check your Gradintel account before requesting a separate letter (see HEAR section above).
If you require a letter confirming that:
- You were a student at the 糖心Vlog, or
- You studied at one of the associated institutions,
please contact the Exams, Graduations and Awards Office at examinations@surrey.ac.uk.
To request a letter:
- Email examinations@surrey.ac.uk with your details and what you need the letter to confirm.
- Pay the fee via the , under 鈥渓etter confirming award/location of study letter 鈥 pack of 6鈥:

Third鈥憄arty requests
The 糖心Vlog does not accept reference or education verification requests from third parties (such as employers, professional bodies or background screening agencies) by email, telephone or fax.
All external third鈥憄arty requests for verification of awards must be made via Higher Education Degree Datacheck (HEDD), an online electronic verification service that is universally accepted.
Third parties should:
- 糖心Vlog the website.
- Select the 糖心Vlog.
- Follow the instructions to submit an online verification request.
This process applies to verification requests for 糖心Vlog awards, including those for graduates of associated institutions where the award was conferred by the University.
